How to Automate Payroll Using Attendance and Leave Data

Tired of rebuilding payroll in a spreadsheet? See how pay heads, salary templates and simple formulas let you run payroll from attendance and leave in one click.

Payroll day in a lot of small companies goes something like this. Export attendance. Check which leave was approved. Copy it all into a spreadsheet. Fix the formula that broke since last month. Double-check. Then double-check again.

It's slow, and one small slip means someone gets paid the wrong amount.

The good news is that most of this work can be automated. The trick is to stop treating payroll as a separate job and let it use the attendance and leave data you already have.

Why payroll goes wrong

Most payroll mistakes come from moving data between places:

  • Attendance is in one system and leave approvals are in another
  • Overtime is tracked on paper, or not at all
  • Salary rules live in spreadsheet formulas only one person understands
  • A policy change gets applied to some employees but not others

Automating payroll is really about removing those hand-offs.

Step 1: Get attendance and leave in one place

Payroll can only be as accurate as the data behind it. Record attendance in a way that suits your team, whether that's mobile clock-in, QR codes, Excel imports or a biometric device. We compared the options in 5 ways to track employee attendance.

Then make sure leave is approved in the same system. Approved paid leave should count as a paid day. Unapproved absence should count as leave without pay. When the two are connected, payroll always knows how many paid days each person worked.

Step 2: Break salary into pay heads

A pay head is one piece of a salary. Basic salary, house rent allowance, travel allowance, overtime, provident fund and tax deductions are all pay heads.

Each pay head can be worked out in a different way:

  • Flat rate, a fixed amount like a monthly travel allowance
  • Computed, a formula based on other pay heads, like 12% of basic
  • Production based, linked to actual work, like overtime hours

Set them up once and every payslip follows the same rules.

Step 3: Use simple conditions for real-life rules

Real payroll rules often depend on thresholds. For example:

If basic salary plus dearness allowance is more than 12,000, provident fund is 12% of that amount. Otherwise, a different rate applies.

Or:

If net earning is more than 25,000, the employer contributes 12% of it. Otherwise, there's no employer contribution.

Payroll software that supports conditional formulas handles this for you. And when the rule changes, you update one formula instead of a hundred spreadsheet cells.

Step 4: Create salary templates

Group your pay heads into salary templates for different kinds of roles, like one for full-time staff and one for contract workers. Then give each employee a salary structure based on a template, with their own amounts filled in.

Adding a new hire now takes a minute: pick the template and enter their numbers.

Step 5: Generate payroll in one click

Once attendance, leave, pay heads and salary structures are set up, running payroll is a single action. The system reads each person's attendance and leave for the month, applies their salary structure and works out every pay head. No exports and no copy-pasting.

A quick checklist

Before your next payroll run, check that:

  1. All your attendance methods feed into one system
  2. Leave approvals are recorded and synced with attendance
  3. Every part of the salary is set up as a pay head
  4. Rules that depend on amounts use conditional formulas
  5. Every employee has a salary structure based on a template
