5 Ways to Track Employee Attendance (and How to Pick the Right One)

Registers, mobile clock-in, QR codes, Excel imports or biometrics? We compare five ways to track employee attendance so you can pick what fits your team.

Attendance sounds simple. Someone is either at work or they're not. But once you have different shifts, branch offices, people working remotely and overtime to pay, it gets messy fast.

There's no single right way to track attendance. What works for an office won't suit a factory, and what works for a factory won't suit a sales team on the road. Here are five common methods and where each one fits.

1. Manual attendance

HR or a manager marks each person as present, absent or on leave.

Good for: very small teams, irregular schedules, or as a backup when other methods fail.

The catch: it depends on one person getting it right and doesn't record exact times. It's fine as a fallback, but not great as your only method.

2. Self clock-in and clock-out

Employees mark their own start and end time from a web page or a mobile app.

Good for: office teams, remote staff and people out in the field.

Why people like it: there's no hardware to buy, you get exact times, and employees can see their own history. That last part cuts down a lot of "but I was here that day" conversations.

3. QR code attendance

A QR code is placed at the workplace, and employees scan it with their phone to check in.

Good for: shops, clinics, warehouses and branch offices where you want to be sure people are actually on site.

Why it works: it's quick, contactless and almost free to set up. Because the code is tied to a place, it's much harder to check in from home.

4. Timesheet import

Attendance is prepared in an Excel file and uploaded in one go.

Good for: large teams, contractors, or when you're moving old records over from another system.

Why it helps: nobody has to type in hundreds of entries by hand.

5. Biometric devices

Fingerprint or face recognition machines record attendance and send it to your HR system.

Good for: factories and large sites with shift work, where you need strong proof of who checked in.

The catch: the devices cost money and need looking after. Make sure your HR software can receive the data through an API, otherwise someone ends up exporting files every week.

Quick comparison

Method Hardware Proof they were there Works best for
Manual None Low Small teams
Self clock-in Phone or PC Medium Office, remote and field staff
QR code A printed code High On-site locations
Timesheet import None Depends on the source Bulk data
Biometric Device Very high Factories and shifts

How to choose

Ask yourself three questions.

Where do people work? On-site teams suit QR codes or biometrics. Spread-out teams suit mobile clock-in.

How much proof do you need? If overtime pay or compliance rules are strict, go for a method tied to location or identity.

Does it feed into payroll? This is the big one. Attendance only saves time if it flows straight into leave and payroll. If you still have to copy it across, you've only solved half the problem.

Most companies end up using more than one method. Office staff clock in from their phones, branch staff scan a QR code, and HR marks the odd exception by hand. That's completely normal, as long as everything lands in one system.

Attendance in LiteHRM

LiteHRM supports all five: manual marking, self clock-in and out from the web or the Android and iOS apps, QR code attendance, Excel timesheet import and a biometric attendance API. You can set up different attendance types, record overtime and early leaving, and it all syncs with leave and payroll.
