7 Signs Your Company Has Outgrown HR Spreadsheets
Spreadsheets are great when you have five employees. Here are seven clear signs it's time to move your HR, attendance and payroll into proper HR software.
Almost every company starts HR in a spreadsheet. One tab for employee details, one for leave, one for salaries. It's free, everyone knows how to use it, and with five or ten people it works fine.
The trouble is that spreadsheets don't tell you when they've stopped working. They just get slower, messier and riskier until something goes wrong, usually on payroll day.
Here are seven signs we see again and again from companies that are ready to move on.
1. Payroll takes days, not hours
If running payroll means pulling attendance from one file, leave from another and then fixing formulas by hand, you're spending far too long on it. Payroll should mostly be a calculation, not a project.
When it takes a person two or three days every month, that's time you're paying for that could go somewhere more useful.
2. Only one person understands the file
There's often one person who "knows how the sheet works". They built the formulas, they know which tab to update first, and they know which cells not to touch.
That's a big risk. If they're on leave, sick or leave the company, nobody else can run HR properly.
3. You keep finding mistakes after the fact
A wrong leave balance. A salary that missed last month's increment. Overtime that never made it into the payslip. These errors usually come from copying data between files.
Each mistake on its own is small. But employees notice, and trust in HR drops quickly when payslips are wrong.
4. Leave requests live in email and chat
If people ask for leave on WhatsApp, email or a quick chat in the corridor, someone has to remember to update the sheet. Some requests get missed, and nobody has a clear view of who's off next week.
5. You can't answer simple questions quickly
How many people were late this month? Who has the most leave left? When did this employee change department?
If answering takes half an hour of digging, your data isn't working for you.
6. Everyone can see everything
A shared spreadsheet is usually all or nothing. Either someone has access to the file or they don't. That means managers may see salaries they shouldn't, or you end up keeping several copies of the same file, which creates more mistakes.
Good HR software lets you decide exactly who sees what. We wrote more about this in who should see what in your HR system.
7. You've started worrying about where the file is
Is the latest version on the shared drive or on someone's laptop? Was it emailed to an old employee? Spreadsheets full of salaries and ID numbers are easy to copy and hard to control.
What to do next
If three or more of these sound familiar, it's time to look at HR software. You don't need a huge enterprise system. For most small and medium companies, the basics cover almost everything:
- Employee records in one place
- Attendance tracking that suits how your team works
- Leave requests and approvals
- Payroll that uses attendance and leave data automatically
- Roles and permissions so people only see what they should
The move is usually easier than people expect. Most of your data can be imported, and after the first payroll cycle nobody wants to go back.
Where LiteHRM fits
LiteHRM covers all of the above in one system that you host on your own server. You pay once for a lifetime license instead of a monthly fee per employee, and your team gets native Android and iOS apps for attendance and leave.
The easiest way to see if it suits you is to click around the live demo. It has sample data, so you can try payroll, leave and attendance without setting anything up.
